Three kinds of tools share one name
Search for “reputation management software” and you get lists that mix tools built for different jobs. It helps to split them before you compare prices.
- Review management platforms ask customers for reviews by email or text and let you answer them from one inbox. They suit businesses that get a steady flow of reviews and want more of them.
- Social listening suites collect mentions of a name from social networks, news and blogs, with charts of volume and sentiment. They suit marketing teams that run campaigns.
- Search and reputation monitoring looks at what a person sees when they check you: the results for your name, the suggestions under the search box, the star ratings next to review sites, and now the answers of AI assistants.
WhatsMyRep is the third kind. It will not ask your customers for reviews, and it does not chart your share of voice on Instagram. It answers a narrower question every day: if a customer looked us up right now, what would put them off?
Why the search results matter more than the review inbox
A buyer who is about to call a plumber, book a clinic or sign with an agency rarely reads your website first. They type your name into Google, often with “reviews” or “scam” after it, glance at the stars, and more and more often read the AI Overview at the top.
Google asks its own quality raters to do the same. Section 3.3.3 of the Search Quality Rater Guidelines tells raters to search for a site’s name with “reviews” while excluding the site itself, for example [ibm reviews -site:ibm.com], and section 3.3.1 points them to news articles, forum discussions and ratings from independent organizations. Section 3.3.2 adds that “credible, convincing reports of fraud and financial wrongdoing is evidence of extremely negative reputation”, while a few bad reviews are “completely normal and expected”.
So the page that hurts is rarely the single angry review. It is the complaint thread that ranks third for “your name reviews”, the suggestion “your name scam” that every searcher sees, or an AI answer that repeats a story from three years ago. That is what WhatsMyRep scores.
Risk, not just positive or negative
Most tools label a mention as positive, neutral or negative. That is not enough to decide what to do. A negative Reddit comment about parking near your shop and a page titled “Is this company a scam?” on page one are both negative, and only one of them needs your attention today.
Every finding in a WhatsMyRep report gets a risk score: 0 clear, 1 worth watching, 2 could hurt, 3 act now. The score looks at what the page says, where it ranks and for which search. Alerts go out from risk 2 by default, so a quiet week stays quiet.
A realistic routine for a small business
- Run the free check once. It takes about 2-3 minutes and shows the starting point in your country.
- Deal with risk 2 and 3 first. Open each page. Reply on the platform where the complaint lives, correct facts on pages you control, or use the platform’s official report button when a review breaks its rules.
- Ask real customers for reviews, the right way. Google’s policy forbids paying or giving discounts for reviews, and posting reviews of competitors. Asking everyone, without conditions, is fine.
- Let the daily check watch the rest. New negative results, new negative suggestions, a falling rating or a negative AI answer reach you in email, Slack, Teams, Discord or the browser.

What is online reputation management software?
A tool that shows what people find about a business online and helps it react. In practice the word covers three different things: platforms that ask customers for reviews and answer them, social listening suites that collect mentions from social networks and news, and monitoring tools that watch search results. WhatsMyRep is the third kind.
Is WhatsMyRep a full reputation management platform?
No. It does monitoring and early warning: what Google, review ratings and AI assistants show about you, scored by risk, with alerts. It does not send review requests, host a review inbox or remove content.
How much does it cost?
